Course booking terms

The terms that apply when you book a place on a Barham Protection Services training course through this website: who the booking is with, payment, cancellation, transfers and refunds, what each course asks of you, and what happens if we have to change a date.

Last updated 10 October 2026

  1. A. The booking

    Who these terms are between

These terms are between you, the person or organisation making the booking, and Barham Protection Services Ltd (BPS), company number 14868639, whose headquarters and training centre is at Unit 10, The Old Brewery, Buckland Road, Maidstone, ME16 0DZ. By ticking the box on the booking form and paying, you accept these terms for every place in your booking. If you book for someone else, you are responsible for passing these terms and the course requirements on to them.

  2. What you are booking

A place, or places, on the course and date shown on the booking form, for the delegates named on it. The course page describes the course, its awarding body and qualification, the venue, the entry requirements and what to bring. Only our publicly run courses can be booked on this website; corporate and in-house courses are arranged by phone or email.

  3. Price and VAT

The price is the one shown on the booking form when you pay. The form shows the price excluding VAT, the VAT at the rate shown, and the total to pay. A discount code applies only if it is entered before payment, and only on the terms shown with it.

  4. Payment

Payment is in full, at the time of booking, by card through Stripe, our payment provider. We never see or store your card details. Your places are held for 30 minutes while you pay; if payment is not completed in that time the hold ends and the places are released. Your booking is confirmed when we email you a booking confirmation.

  5. Places and delegates

Each place is for one named delegate, who must be 18 or over on the first day of the course (the booking form checks the date of birth). You may ask us to change the name of a delegate before the course starts, at no charge, provided the new delegate meets the course's entry requirements. A place cannot be shared.

  6. B. Cancellation, transfers and refunds

Your 14-day right to cancel (consumers)

If you are a consumer, that is an individual booking for purposes outside your trade, business or profession, you have the right under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 to cancel your booking for any reason within 14 days of the day we confirm it, and to a full refund. To cancel, email training@bps-ltd.org or write to us at our headquarters, saying clearly that you are cancelling and giving your booking reference. If the course starts within those 14 days, then by booking you ask us to begin the course before the cancellation period ends, and you accept that your right to cancel under this clause ends when the course starts: you can cancel under it up to the start of the course, and not after. Where this right applies it comes first: a cancellation within it is refunded in full, whatever clause 7 says.

  7. Cancelling outside your 14-day right

Outside the 14-day right in clause 6, or where it does not apply, this clause sets what you get back if you cancel. The days are counted from the day we receive your cancellation or transfer request, by email or in writing, to the first day of the course.

    • 14 or more days before the first day of the course: a refund of 50% of the price paid, or a free transfer to another date of the same course.
    • Fewer than 14 days before the first day of the course, or if the delegate does not attend: no refund and no transfer.
    • Why we charge: when you book, we register each delegate with the awarding body and pay for that registration, we book the instructors for the course, and we hold a place for you that we could have sold to someone else.
    • A transfer is instead of a refund: a place that has been transferred cannot later be refunded under this clause.
  8. If we cancel or change a date

If we cancel a course, or move its date and the new date does not suit you, you choose between a full refund and a free transfer to another date. We will tell you as soon as we can. We are not liable for travel, accommodation or other costs you incur beyond the course fee, so please book travel and accommodation that can be changed.

  9. How refunds are paid

Refunds go back to the card you paid with, through Stripe, within 10 working days of our confirming the refund to you. We cannot refund to a different card or account. A refund is of the amount actually paid: a discount is not refunded as money.

  10. C. What each course asks of you

    Attendance and assessment, every course

Delegates are expected to attend all parts and elements of the course. Where a course leads to a qualification, the awarding body for that course sets the assessments and issues the certificate, and the qualification is awarded only when its requirements are met: attendance alone does not earn it. A delegate who does not meet an entry requirement on the day may be refused the place, and clause 7 then applies as if they had not attended.

  11. Close protection courses (Highfield)

For the SIA Close Protection course and the Level 2 Close Protection Refresher: participation in live deployments are mandatory, and one or more of these deployments will be assessed. The course will be conducted at a training centre as advertised. You will be expected to facilitate your own method of transport to attend these courses. Accommodation is not included.

    • All learners on the SIA Close Protection course need a Level 3 medical qualification to begin: book the close protection and FREC3 package, or get in touch to check that the qualification you hold is suitable.
    • For the Level 2 Close Protection Refresher you need a valid SIA Close Protection licence, fluent spoken and written English, a valid Level 3 First Aid at Work, ECFR, FPOS or FREC3 certificate or higher with at least 12 months currency, and the pre-course self-study (Highfield e-learning, including ACT online training and both ACT certificates from the last 12 months) completed before the course.
    • Bring the identity documents the course page lists (one Group A document, such as a passport or full UK driving licence, and two Group B documents, such as a utility bill, bank statement or birth certificate), two recent passport-sized photos, your certificates and a laptop or tablet for the e-assessments.
  12. Behavioural detection courses (Highfield)

For the Level 3 Behavioural Detection Officer course and the Behavioural Detection Awareness course: participation in the live deployments is mandatory, and one or more of them is assessed. Days usually run 10:00 to 18:00, flexible depending on the event deployment. Accommodation is not included; parking and transport details are sent on booking, as they depend on the location.

  13. First aid and medical courses (Qualsafe)

For First Response Emergency Care Levels 3 and 4, Emergency First Aid at Work, First Aid at Work and Paediatric First Aid: the assessments are those set by Qualsafe Awards for the qualification, and successful learners receive a personalised Qualsafe e-certificate. A first aid or FREC qualification is not a licence to practise: any interventions you perform in your role must be in line with your own or your organisation's scope of practice and agreed ways of working.

    • FREC3 and FREC4: at least 18 years old on the first day of the training.
    • FREC4: a valid, in-date Qualsafe Level 3 Award in First Response Emergency Care (RQF), a valid, in-date Qualsafe First Response Emergency Care (Level 3 RQF) qualification, or a QA recognised equivalent, and 118 hours of medical continuing professional development completed between your FREC3 and FREC4, with the evidence to show it, before you begin. FREC4 is assessed by three practical assessments, two skills tests, three learner workbooks and two invigilated exams.
    • Emergency First Aid at Work, First Aid at Work and Paediatric First Aid certificates are valid for three years, after which the course is retaken.
  14. Course modifications

The organiser reserves the right to modify the course content, live exercises, assessments, or guest lineup accordingly in line with continual course improvements within the guidelines of the awarding body for that course (Highfield Qualifications or Qualsafe Awards). What the course leads to does not change.

  15. Joining instructions

Joining instructions will be sent in the weeks leading up to the course. You will not receive these immediately upon booking. You will receive a booking confirmation email, and joining instructions will follow at a later date.

  16. D. Business customers and general terms

    Business customers

If you book as a business, including a sole trader booking for staff or an organisation paying for a delegate, you are not a consumer: the statutory right in clause 6 does not apply, and clauses 7 to 9 apply as the cancellation, transfer and refund terms of our contract. The person booking confirms that they have authority to bind the business.

  17. Our liability

Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud, or for anything else the law does not allow us to limit. Otherwise, our liability to you in connection with a booking is limited to the price you paid for it.

  18. Your rights, questions and complaints

These terms do not affect your statutory rights as a consumer. If something goes wrong, tell us first so we can put it right: training@bps-ltd.org or 0330 043 8443. Your personal information is handled as our privacy notice describes. These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction, without taking away any right you have to bring a claim where you live.
